How to make a perfect invoice, step by step
Work down the invoice from top to bottom. Totals update as you type, so what you see is exactly what your client gets.
Your invoice is saved only in this browser. Nothing is uploaded. Use the same device and browser to come back to a draft, and download the PDF for your records.

01
Add your logo and invoice number
Click Add Your Logo to put your brand at the top. The title says INVOICE by default and you can rename it, for example to Quote or Tax Invoice. Give it a number in the # box.
Number invoices in sequence and never reuse one.
-
02
Say who it is from and who it is to
In Who is this from? put your business name, address, email and any tax or VAT number. In Bill To put your client’s legal name and billing address. Ship To is optional, only for physical goods going somewhere else.
Use registered legal names so the invoice holds up for accounts.
-
03
Set the dates and payment terms
Pick the invoice Date, write your Payment Terms (for example Net 30 or Due on receipt), then set the Due Date. If your client gave you a purchase order, add it under PO Number.
A clear due date is the single biggest thing that gets you paid on time.
-
04
List each item or service
Describe the work in the Item line, then enter Qty and Rate. The Amount calculates itself. Use + Line Item for each extra product or service, and Remove to delete a line.
Be specific: “Logo design, 3 concepts, 2 revisions” beats “Design work”.
-
05
Add tax, discount or shipping
Under the subtotal, use + Tax, + Discount and + Shipping as needed. Tax can be switched between a percentage and a fixed amount with the toggle next to it.
Only charge tax you are registered to collect.
-
06
Record any payment already received
If the client paid a deposit, enter it in Amount Paid. The Balance Due updates so the client sees exactly what is left to pay.
Leave it at 0 if nothing has been paid yet.
-
07
Add notes and terms
Use Notes for anything the client should know, such as a thank-you, bank details or a payment link. Use Terms for late fees, accepted payment methods or delivery schedules.
Tell them how to pay, not just how much.
-
08
Choose a theme and currency
In Invoice Settings, pick one of seven themes (Classic, Ocean, Emerald, Violet, Rose, Amber or Graphite) and your Currency, from US Dollar and Pound to Euro, Dirham, Rupee and Taka. Click Save as default to keep these for your next invoice.
Invoice in the currency you agreed with the client.
-
09
Download the PDF and send it
Check every figure, then click Download PDF and email it to your client. When you are ready to start the next one, Reset clears the form.
Keep a copy of every PDF you send. Your accountant will ask for them.
